Administration Coordinator

Some administration roles are built around meetings, shared calendars and spotless offices.

This one involves international shipping, a busy weighbridge, plenty of moving parts, and a working aggregates site where hi-vis makes more sense than high heels.

International Specialty Aggregates (ISA) produces and exports specialty pebbles from Southland to customers around the world. We're looking for an experienced administrator to take ownership of our Oreti Beach office and keep everything running smoothly.

You'll be trusted to work autonomously, organise your priorities and stay one step ahead.

A major part of your role will be coordinating export orders. You'll prepare shipping documentation, arrange freight and ensure every detail is correct before vessels reach port. There are real deadlines involved, so accuracy and forward planning are essential.

You'll also operate the site weighbridge, process invoices, complete monthly reporting and welcome drivers and customers. On any given day, five trucks might arrive or 50 might roll through.

You'll need to switch between tasks, remember exactly where you were and keep things moving without becoming flustered.

We're looking for someone who:

  • Has extensive administrative experience
  • Works confidently without constant direction
  • Is highly organised, accurate and dependable
  • Can juggle interruptions without dropping the ball
  • Communicates easily with people from all backgrounds
  • Is comfortable in a direct, down-to-earth environment
  • Brings energy, resilience and a good sense of humour

Experience in transport, logistics, construction or infrastructure would be helpful, although full training will be provided in our shipping, invoicing and weighbridge systems.
